DUTIES AND RESPONSIBILITIES

Reporting to the Controller, you will be an integral part of the team responsible for providing operational leadership and support to the entire company.  The Finance Coordinator is responsible to be a contributing member of the corporate services team; to lead the accounts receivable process through proactive invoicing and collections in alignment with corporate strategy and policy.

This position is a maternity leave replacement and is estimated to be 14 months in duration, depending on the start date of the successful candidate. The anticipated start date is April 1, 2020.  This position is eligible for participation in the company group benefits plan, as well as vacation time.

Responsibilities include but are not limited to:

 

  • Within our accounting system, opening new projects, establishing billing terms, creating phases;
  • Verifying client contact information in order to facilitate the invoicing and collections process;
  • Preparing and issuing monthly project invoices to clients;
  • Reconciling and preparing incoming client payments for deposit;
  • Accounts receivable for the McIntosh Perry group of companies which will include:
    • Internal communications with project managers;
    • Preparing billing and/or payment summaries;
    • Answering queries from project managers and clients;
    • Updating the accounting system with Purchase Orders (P.O.’s) and/or tracking down P.O.’s;
    • Following the established A/R process for client communication (calls, emails, statements, other collection methods); and
    • Processing credit card payments as required.
  • Processing client and inter-company invoices monthly and at other times as required;
  • Reconciliation of GL accounts; and
  • Other responsibilities and project work as may be requested.

QUALIFICATIONS

 

  • Minimum of a two year diploma in an accounting or accounting-related program;
  • Preference will be given to candidates with a minimum of three (3) to five (5) years of previous experience in accounts receivable and accounting related functions or an equivalent combination of relevant education and experience;
  • Knowledge of Deltek Vision software is an asset;
  • Strong knowledge of accounts receivable, accounts payable and maintaining general ledgers;
  • Excellent analytical skills and attention to detail;
  • Intermediate to Advanced level skills in MS Office, in particular Excel, Word, Outlook and PowerPoint;
  • Good administrative and organizational skills;
  • Ability to handle multiple and conflicting priorities;
  • Ability to handle difficult callers and exercise tact and diplomacy;
  • Excellent oral and written communication skills in English (French considered an asset);
  • Experience in a professional services environment preferred;
  • Equally able to work as part of a team or independently; and
  • Possess a valid driver’s license and have access to a vehicle with valid registration and insurance.
