DUTIES AND RESPONSIBILITIES

Reporting to the Finance Manager, the incumbent will be an integral part of the team responsible for providing operational support to the organization. In addition, the Billing Specialist/Project Accountant will be a contributing member of the corporate services team and responsible to lead through proactive project accounting, invoicing and collections in alignment with the corporate strategy and policy. 


As a member of our Finance team, your duties will include, but are not limited to:

  • Within our accounting system, opening new projects, establishing billing terms, creating phases and closing projects upon completion;
  • Project costing, revenue and budget reviews;
  • Perform revenue recognition and work in progress reviews for projects;
  • Assisting with project contract management;
  • Helping lead the invoicing and collections process;
  • Preparing and issuing monthly project invoices to clients;
  • Reconciling and preparing incoming client payments for deposit;
  • Accounts receivable for the McIntosh Perry group of companies which will include:
    • Internal communications with project managers;
    • Preparing billing and/or payment summaries;
    • Answering queries from project managers and clients;
    • Following the established A/R process for client communication (calls, emails, statements, other collection methods); and
    • Processing credit card payments as required;
  • Backlog and pipeline reporting and examination;
  • Identify and recommend new practices to improve financial and operational practices to improve accuracy and timeliness of reports to Stakeholders;
  • Reconciliation of GL accounts; and;
  • Other responsibilities and project work as may be requested.


QUALIFICATIONS

  • Minimum of a two year diploma in an accounting or accounting-related program;
  • Preference will be given to candidates with a minimum of three (3) to five (5) years of previous experience in project accounting and accounting related functions or an equivalent combination of relevant education and experience;
  • Knowledge of Deltek Vision software is an asset;
  • Strong knowledge of accounts receivable, invoicing as well as project reviews and analysis;
  • Excellent analytical skills and attention to detail;
  • Intermediate to Advanced level skills in MS Office, in particular Excel, Word, Outlook and PowerPoint;
  • Good administrative and organizational skills;
  • Ability to handle multiple and conflicting priorities;
  • Ability to handle difficult callers and exercise tact and diplomacy;
  • Excellent oral and written communication skills in English;
  • Experience in a professional services environment preferred;
  • Equally able to work as part of a team or independently; and
  • Possess a valid driver’s license and have access to a vehicle with valid registration and insurance.
